Privacy policy

Your information, handled with care.

What we collect, why, who sees it, how long we keep it, and how to ask us about it.

Who we are

This policy explains how KAAM Networks (legal entity name to be confirmed), trading as KAAM Networks (“we”, “us”), handles personal information. KAAM Networks connects Australian communities and businesses with the right people and opportunities through four programs, including Global Education Support, our not-for-profit program.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We intend to follow the APPs as a matter of good practice whether or not every part of the Act applies to us.

What we collect

We collect only what we need to reply to you and make useful introductions:

  • Contact details: your name, email address and, if you give it, a phone number.
  • What you tell us: the subject and message of an enquiry, replies in your portal, and anything else you choose to share about your situation.
  • Account details: if you register, your name, email, optional location, organisation and program interests, and your password (stored only as a one-way hash; we cannot read it).
  • Organisation details: for partner and support enquiries, your organisation, role, country and website.
  • Newsletter preferences: your email, optional name, the topics you chose, and when you subscribed, confirmed or unsubscribed.
  • Technical information: your IP address is used briefly to protect forms from abuse (rate limiting), and our hosting provider keeps standard server logs.

Sensitive information. Messages sometimes include sensitive information, such as visa status, health, religion or cultural background. Please share only what is needed for us to help. If you do share it, we use it only for the purpose you gave it to us for, with your consent.

You can deal with us without giving your full name (for example, to ask a general question), but we may not be able to make an introduction that way.

How we collect it

Mostly directly from you, through our website forms, your portal, email or conversation. Sometimes a person or organisation refers you to us; when that happens we will tell you who referred you, if you ask.

Why we use it

  • to read and reply to your enquiry and keep a record of the conversation;
  • to make introductions you have agreed to;
  • to run your account and portal;
  • to send the newsletter, only if you have subscribed and confirmed;
  • to keep the website secure and prevent misuse;
  • to meet our legal obligations.

Who we share it with

People you are introduced to. An introduction means sharing some of your details with the other side. We tell you who we intend to introduce you to and what we will share before we do it.

Service providers who help us run the website, such as our hosting provider and our email delivery provider, which sends confirmations, replies and password reset emails. They may handle your information only to provide that service to us.

Where the law requires it, for example in response to a lawful request from a court or regulator.

We do not sell personal information and we do not share it for other organisations’ marketing.

Overseas disclosure

Some introductions are to people or organisations outside Australia, for example in the Gulf, South Asia or the Pacific. We only make those with your agreement, and we tell you the country involved.

Some of our service providers, including our email delivery provider, may store or process information outside Australia (for example in the United States). We take reasonable steps to choose providers that protect information to a standard consistent with the APPs.

Cookies and browser storage

We use one essential cookie, set only when you sign in, to keep you signed in. It is marked HTTP-only and secure, cannot be read by other websites, and expires after 14 days or when you sign out.

We do not use advertising or tracking cookies, and we do not currently use analytics. Our fonts are served from our own website, so loading a page does not send your details to a font provider. If this changes, we will update this policy first.

How we protect it

The site is served over an encrypted connection, passwords are stored only as one-way hashes, password reset links expire after an hour and work once, and access to enquiries is limited to the KAAM Networks team. No system is perfectly secure, but we take reasonable steps to protect information from misuse, loss and unauthorised access.

How long we keep it

We keep enquiries and account information for as long as we need them to help you and to keep reasonable business records. When information is no longer needed, we delete it or remove anything that identifies you. Specific retention periods will be set out here once confirmed.

If you unsubscribe from the newsletter, we keep a record of your email address and the date you left, only so we do not email you again by mistake. You can ask us to delete it entirely.

Access and correction

You can ask to see the personal information we hold about you, and ask us to correct it, at any time by emailing [email protected]. Signed-in members can update most profile details in the portal. We will respond within a reasonable time, usually 30 days, and will explain if there is a lawful reason we cannot provide something. We do not charge for a request.

Data breaches

If a data breach is likely to result in serious harm to anyone whose information is involved, we will notify the people affected and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

Complaints

If you are concerned about how we have handled your personal information, please email [email protected] and tell us what happened. A person will acknowledge your complaint, look into it, and reply in writing, usually within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

We will update this page when our practices change and show the date the current version took effect. Significant changes will be highlighted on the website. Our terms of use explain the rest of how the website works.
